We ask for only the least amount of information necessary, gathering only what we believe is essential for doing business, or for the specific transaction at hand.
The goal of this policy is to make explicit the information we gather, how we will use it, and how we will not. This policy is divided into three parts: Part I – Information 1604ENT collects and controls; Part II – Information that 1604ENT processes on your behalf; Part III – General topics including security and policy updates.
Part I – Information 1604ENT collects and controls
This part deals with how 1604ENT collects and uses information about website visitors, potential customers, users of our products and services, and others who contact us through forms or email addresses on our websites.
What information 1604ENT collects
We collect information about you only if we need it for a legitimate purpose. 1604ENT will have information about you only if (a) you have provided it yourself or (b) 1604ENT has automatically collected it. Payout processors and distribution partners may also send us status and reporting data needed to operate your account (for example payout confirmations and royalty reports).
Information that you provide us: Account signup (email, password, name, contact number, company name, country); payment processing (name, contact information, tax ID, payment account information—credit card data is stored by the Payment Gateway Service Provider, not by us); interactions with 1604ENT (we may record and analyze email, telephone, and chat conversations for improving our service).
Information that we collect automatically: From browsers, devices and servers (IP address, browser type, language, time zone, referring URL, date and time of access, operating system, mobile device information); from first-party cookies and tracking technologies; from application logs and mobile analytics (clicks, scrolls, features accessed, performance data, storage utilized, user settings, and devices). We do not collect precise GPS location. Approximate location may be inferred from IP address (for example country or region) for security, fraud prevention, and service analytics.
Account and service information: In addition to signup details, we may collect information you provide to use the Service, including:
- Releases you upload — audio files, artwork, and release metadata (such as titles, artist names, ISRC, and UPC) needed to distribute your music
- Payout information — payment method details you submit for withdrawals (such as PayPal email, wire transfer details, or cryptocurrency wallet address)
- Support communications — information and attachments you send through our support or ticket channels
- Photos and camera — images you choose or take for your artist profile, release cover art, or support attachments. We do not access your photo library or camera except when you use those features
- Legal name — the name you confirm for payouts and identity matching, as shown on your government-issued ID
- Mobile app usage — basic device and app information (such as device type, operating system, and app version) when you use our mobile applications
- Push notification identifiers — device tokens needed to send push notifications you have agreed to receive
- Biometric sign-in (optional) — Face ID, Touch ID, or Android biometrics may be used to unlock the app on your device. Biometric templates stay on your device and are not uploaded to 1604ENT
Purposes for using information
We may use your information to: communicate with you about services, policy changes, and important notices; keep you posted on new products, events, offers and promotions; ask you to participate in surveys or feedback; set up and maintain your account and provide our services; understand how users use our products and improve them; provide customer support; detect and prevent fraud and illegal activities; protect rights and interests of 1604ENT, users, and the public; update and analyze our records and provide products that may be of interest; analyze trends and administer our websites; monitor and improve marketing campaigns.
We may also use your information to:
- Send service-related notifications, including push and in-app alerts (for example, payout status, account notices, and royalty report availability)
- Operate real-time in-app notifications within the dashboard
- Calculate royalties and apply commission in accordance with your account and any applicable custom agreement
- Detect and prevent fraud, including artificial streaming or other abuse, and to apply account or wallet adjustments permitted under our Terms
Legal bases for collecting and using information
If you are from the European Economic Area (EEA), our legal basis depends on the personal information and context. Most collection and processing is based on (i) contractual necessity, (ii) legitimate interests of 1604ENT or a third party, or (iii) your consent. Where we rely on consent, you may withdraw it at any time; where we rely on legitimate interests, we will explain those interests at the time of collection.
Your choice in information use
You may opt out of non-essential electronic communications via the unsubscribe function in such messages. You can disable browser cookies before visiting our websites, though some features may not work properly. You can choose not to provide optional profile information or delete or change it. You may disable Face ID / biometric unlock in your device or app settings. You may turn off push notifications in your device settings. You can delete your account from the 1604ENT dashboard (including in the iOS and Android apps); we then retain or delete records as described under Retention of information.
Your rights (EEA)
If you are in the EEA, you have rights with respect to information 1604ENT holds about you: Right to access (and obtain a copy); Right to rectification; Right to erasure; Right to restriction of processing; Right to data portability; Right to object (e.g. to direct marketing); Right to complain to a supervisory authority. 1604ENT undertakes to provide the same rights no matter where you live.
Retention of information
We retain personal information for as long as required for the purposes in this policy. We may retain it longer as permitted or required by law (e.g. suppression lists, legal claims, tax, accounting). When we no longer have a legitimate need, we will delete or anonymize it from active databases and securely store/isolate it on backup until deletion is possible.
Part II – Information that providers process on our behalf
We may entrust your information to independent contractors or providers we use to provide our services or technical support. Data may be stored on our servers or transferred to us as part of those services. We share service data with third-party sub-processors, employees and contractors (under access and logging controls), and through third-party integrations you enable—we encourage you to review those parties’ privacy practices. Content and account records you upload or generate through the Service (including release files, metadata, and account-related financial records such as wallet and payout history) are retained for as long as your account is active and as required thereafter for legal, accounting, fraud-prevention, or dispute-resolution purposes. We hold data in your account as long as you use 1604ENT Services; after you terminate your account, data is deleted from the active database during the next clean-up (every 6 months) and from backups after 3 months. EEA data subject requests (access, rectify, erase, restrict, object, export) can be directed to us.
Part III – General
Children’s personal information: Our services are not directed to individuals under 16. We do not knowingly collect personal information from children under 16; if we become aware of it we will take steps to delete it.
Security: We take data security seriously and implement administrative, technical and physical safeguards to prevent unauthorized access, use, modification, disclosure or destruction of your information.
Legal obligations: We may preserve or disclose personal information to comply with applicable law, regulation, legal process or governmental request.
Enforcement: We may disclose information to third parties to prevent fraud, investigate illegal activity, enforce our agreements or policies, or protect the safety of our users.
Business transfers: If we sell our business or are acquired or merged, we will ensure the acquiring entity honors our commitments and we will notify you of any change in ownership or uses of your information.
Compliance: We make every effort to ensure personal information is used in conformity with this policy. If you have concerns, please write to us; we will contact you and, if required, coordinate with regulatory authorities.
Notification of changes: We may modify this Privacy Policy at any time and will notify you via service announcement or email. Significant changes affecting your rights will be communicated at least 30 days in advance by email; you may terminate your use within 30 days if you object. Continued use after the effective date constitutes agreement to the modified policy.
